Terms of Service

These terms are an agreement between you and VisaPhotoMaker (“we”, “us”). By using the site you accept them. If you do not accept them, please do not use the site.
1. What VisaPhotoMaker does
VisaPhotoMaker provides browser-based tools that crop, resize, convert, and check photos against published official specifications for passport, visa, and identity documents, together with general image and PDF utilities.
The tools run inside your web browser. Your photos and documents are processed on your own device and are not uploaded to us. See our Privacy Policy for details.
2. No guarantee that your photo will be accepted
This is the most important term on this page. Our tools help you produce a photo matching the size, resolution, head position, and background described in an authority’s published specification. They cannot guarantee acceptance.
Acceptance of any photo or document is decided solely by the passport office, embassy, consulate, government department, or other authority receiving it. Those bodies apply their own judgement, may apply criteria that are not published, and may change requirements without notice. A specification we rely on may be out of date at the moment you use it.
We are not affiliated with, endorsed by, or acting on behalf of any government or issuing authority. Nothing on this site is legal or immigration advice. You are responsible for checking the current official requirements before submitting anything, and we are not liable for a rejected application, a missed deadline, a lost fee, or any resulting travel disruption.
3. Eligibility and accounts
You must be at least 13 years old to use the site, and at least 18 (or the age of majority where you live) to purchase a subscription. If you create an account you are responsible for keeping your sign-in credentials secure and for activity that happens under your account.
You can use every tool without an account. Accounts exist to hold your subscription status.
4. The free tier
The free tier has no usage limit — you may create as many photos and documents as you need. In exchange it is supported by advertising, and it includes:
- advertisements displayed on the site;
- a short advertisement shown before a file is downloaded;
- standard-quality image exports rather than full-resolution ones; and
- a small watermark on generated PDF files.
Passport and ID photos themselves are never watermarked, on any tier.
5. Premium subscription
A Premium subscription removes the advertisements (including the one shown before download), unlocks full-quality image exports, and removes the watermark from generated PDFs.
Billing. Subscriptions are sold and billed by Ko-fi and its payment processors, not by us. We never receive or store your card details. The price and billing period shown on the Ko-fi page at the time you subscribe are the ones that apply.
Activation. Your subscription is matched to your account by email address. To receive Premium, sign in to VisaPhotoMaker using the same email address as your Ko-fi account. If the two differ, your payment is still recorded — contact us and we will link them.
Cancellation. You may cancel at any time from your Ko-fi account. Cancelling stops future payments; Premium remains active until the end of the period you have already paid for. We do not automatically refund a partial period.
Refunds. If you are unhappy with a payment, email support@visaphotomaker.com within 14 days of that payment and we will refund it. This is in addition to any statutory cancellation or refund rights you have as a consumer, which these terms do not limit.
6. Emails we send
If you hold an account we may send you service messages about it, such as password resets and confirmation that a subscription is active. These are part of the service and cannot be switched off while the account exists.
We only send product or marketing emails if you have opted in, and every such email contains an unsubscribe link that takes effect immediately.
7. Acceptable use
You agree that you will not:
- upload or edit an image you do not have the right to use, including someone else’s photograph or identity document;
- use the tools to create or assist in creating a forged, fraudulent, or deliberately misleading document;
- alter a photograph in a way that misrepresents a person’s appearance where the receiving authority prohibits it;
- attempt to bypass, disable, or interfere with the tiering, advertising, or security features of the site;
- access the site by automated means at a volume that degrades it for other users, or attempt to gain unauthorised access to any part of it; or
- break any law that applies to you while using the site.
We may suspend or terminate access, including a paid account, where we reasonably believe these rules have been broken. If we terminate a paid account for a reason other than a breach, we will refund the unused portion.
8. Intellectual property
Your photos and documents remain entirely yours. Because they are processed in your browser and never sent to us, we do not receive, store, or acquire any rights in them.
The site itself — its software, design, text, and branding — belongs to us and is protected by intellectual property law. You may use the tools and their output for your own purposes, personal or commercial, but you may not copy, resell, or redistribute the site or present it as your own.
9. Third-party services
We rely on third parties to operate: Google Firebase for accounts, Ko-fi and its processors for payment, Google AdSense for advertising, and an email delivery provider. Your use of those services is also governed by their own terms, and we are not responsible for their acts or omissions.
10. Availability and changes to the service
We provide the site on a best-efforts basis and do not promise it will be uninterrupted or error-free. We may add, change, or withdraw tools and features. If we discontinue a paid feature entirely, we will refund the unused portion of any subscription that paid for it.
11. Disclaimers
Except where the law does not allow it, the site and its tools are provided “as is” and “as available”, without warranties of any kind, whether express or implied, including any implied warranty of merchantability, fitness for a particular purpose, accuracy, or non-infringement.
12. Limitation of liability
To the maximum extent permitted by law, we are not liable for indirect, incidental, special, or consequential loss, or for loss of profit, data, goodwill, or opportunity, arising from your use of the site — including a rejected application or a missed travel date.
Where we are found liable, our total liability to you is limited to the greater of the amount you paid us in the twelve months before the claim, or USD 50.
Nothing in these terms excludes or limits liability that cannot lawfully be excluded, including liability for death or personal injury caused by negligence, for fraud, or under consumer protection law that applies to you.
13. Governing law
These terms are governed by the laws of India, and the courts of India have jurisdiction over any dispute. If you are a consumer resident elsewhere, you keep the benefit of any mandatory consumer protections of your own country, and nothing here deprives you of the right to bring proceedings there where the law gives you that right.
14. Changes to these terms
We may update these terms. The date at the top shows when they last changed. If a change materially reduces your rights and you hold a subscription, we will tell you by email before it takes effect. Continuing to use the site after a change means you accept it.
